Payment and Cancellation Policy

At Vibrant Zen, each session, event, retreat, training, mentorship experience, and private offering is created with intentional preparation, time, energy, and care. These policies are designed to ensure clarity, fairness, and respect for both the client experience and the facilitator’s time and preparation.

Please review the following policies before booking.

Payment Policy

  • Upfront Payments: All payments are required in full at the time of booking unless a payment plan has been offered. A 60% non-refundable deposit is required for retreats, trainings, private events, and larger bookings. Deposits reserve your date and cover preparation, materials, scheduling, and administrative costs.

  • Payment Plans: If a payment plan is offered, clients may be required to sign a contractual agreement outlining payment terms. Clients are responsible for completing the full payment plan regardless of attendance, participation, or completion of the offering.

  • No Refunds: Due to the energetic, time-based, and preparatory nature of these offerings, all sales are final unless otherwise stated within this policy.

  • Discounts: Discounts or promotional pricing are only valid when publicly advertised through Vibrant Zen’s website, email list, or social media channels. Additional discounts are offered solely at Vibrant Zen’s discretion.

  • Credit Card Processing Fees: Credit card payments may include an additional processing fee. Venmo and Zelle are preferred to avoid additional fees when applicable.

  • Travel-Based Events: Travel fees are non-refundable once travel has begun. If cancellation occurs after travel has started, the client agrees to cover any incurred travel-related expenses including mileage, tolls, parking, accommodations, or other applicable costs.

Cancellation and Rescheduling Policy

For 1:1 healing sessions or private appointments, the following policies apply:

  • 48-Hour Cancellation or Reschedule Notice: Please provide at least 48 hours’ notice if you need to cancel or reschedule your appointment. This allows the opportunity to accommodate other clients who may be waiting for availability.

  • Late Cancellation Fee: Appointments canceled or rescheduled with less than 48 hours’ notice may result in a cancellation fee equal to 60% of the scheduled service cost.

  • 15-Minute Grace Period: Please arrive on time for your appointment. A 15-minute grace period is offered for late arrivals. If you arrive more than 15 minutes late, the appointment will be considered canceled, and the cancellation fee will apply.

Event-Day Cancellations or No-Shows

  • For private events, retreats, workshops, trainings, and larger bookings, cancellations made within 7 days of the scheduled event will result in forfeiture of all payments made unless otherwise agreed upon in writing.

  • If timing adjustments are needed due to weather or unforeseen circumstances, Vibrant Zen will make reasonable efforts to accommodate modifications on the same day whenever possible.

Outdoor Events & Weather

  • For outdoor events, clients are responsible for providing a safe and suitable environment for participants and instruments, including adequate shade or weather protection when applicable.

  • Vibrant Zen reserves the right to modify, delay, relocate, pause, or cancel an event if weather conditions — including excessive heat, rain, wind, storms, unsafe terrain, or direct sunlight exposure — may negatively impact participant safety or instruments/equipment.

Force Majeure & Emergency Exceptions

If the event must be canceled or postponed due to unforeseen circumstances such as a natural disaster, severe weather, illness, car accident, or other emergencies beyond either party’s control, the following terms apply:

  • Rescheduling Preferred: The event will be rescheduled to a mutually agreed-upon date within 6 months. The deposit will be transferred in full to the new date.

  • Cancellation Without Reschedule: If rescheduling is not possible, 50% of the deposit may be held as a credit toward a future private or public Vibrant Zen event, valid for 12 months.

  • Facilitator Illness or Emergency: If Vibrant Zen (Liz) becomes ill, injured, or otherwise unable to facilitate due to emergency circumstances, clients will receive either a full refund or the option to reschedule.

Illness & Health Considerations

If you are feeling unwell, we kindly ask that you do not attend the event. The health and well-being of our community is important, and we appreciate you helping keep our shared spaces safe.

If you notify us prior to the start time of the event that you are sick and unable to attend, you will be eligible for one (1) reschedule for the same type of event (e.g., sound bath to sound bath, workshop to workshop), based on availability.

Please note:

  • This reschedule option is available one time only.

  • It does not apply to no-shows or notifications made after the event has begun.

  • Rescheduled sessions must be used within a reasonable timeframe, subject to scheduling availability.

  • Refunds are not provided for illness-related cancellations.

Photography & Media

From time to time, photos or short video clips may be captured during public events for marketing, promotional, or educational purposes. If you prefer not to be photographed or recorded, please notify Vibrant Zen prior to the start of the event.

Agreement of Terms

By submitting payment or booking a session, private event, retreat, training, mentorship program, or other offering through Vibrant Zen, you acknowledge that you have read and agreed to this Payment & Cancellation Policy.
